Create and issue a GST sales invoice
Raise a tax invoice, save it as a draft or issue it, then print, share and track payment.
Before you start
- Your business profile and GST configuration are filled in.
- You have at least one customer and one product. You can also add them from inside the invoice form.
Create the invoice
- 1Go to Sales Invoices and click New invoice.
- 2Customer — start typing a name and pick from the list.
- 3Ship from warehouse — the warehouse the goods leave from. Choose None (services only) for service invoices.
- 4Check the Invoice date and, if you give credit, set a Due date.
- 5Supply type and Place of supply fill in from the customer. Same state as you → CGST + SGST; another state → IGST. Change them only if this supply is different.
- 6Add line items: choose a Product, enter Qty, check the rate and GST, and add a Disc % if any. Tick Incl. tax if the price you typed already includes GST.
- 7If the goods go somewhere other than the billing address, untick Ship to the same name & address as billing and enter the ship-to details.
- 8Optionally add Notes and Terms & conditions (pre-filled from Settings).
- 9Check the totals — taxable value, CGST/SGST or IGST, round off and grand total.
- 10Click Save as draft to finish later, or Save & issue to give it a final number and post it to your books and stock.
Tip: If invoice numbering is set to Manual, type the invoice number before issuing. With Automatic, the number is given when you issue.
After issuing
- Print / PDF — opens a print-ready copy. Choose “Save as PDF” in the print dialog to download it.
- Remind on WhatsApp — opens WhatsApp with a ready-written payment reminder (and your UPI ID, if set). Needs the customer's 10-digit mobile.
- Record payment — when the customer pays. See Record payments.
- Edit — issued invoices can still be corrected; you'll be asked for a Reason for this change, which is kept in the invoice's history.
- Cancel — cancels the invoice. A cancelled invoice can't be changed; create a new one if the sale still stands.
Export invoices
For a customer of type Export, the invoice shows export fields. For goods enter the Shipping bill no., Shipping bill date and Port of loading; port codes are optional. For foreign-currency invoices enter the exchange rate. Add your LUT number in Settings to export without paying IGST.
Find and filter invoices
On the Sales Invoices list, filter by status (Draft, Issued, Cancelled, Unpaid) or by customer, or search by invoice number or customer name. Click Remind on an unpaid invoice to send a WhatsApp reminder.
